Zapier: How to Send InvestNext Form Data to Another Zapier-integrated System

Use Zapier to send your InvestNext Form data from InvestNext to another Zapier-integrated system

What is Zapier?

Zapier is a third-party software that allows you to integrate web applications, such as CRMs and email, and automate workflows. InvestNext has integrated Zapier to allow you to automate sending data you have collected with your InvestNext Form into other Zapier-integrated systems.

IMPORTANT:

  • The other system must be integrated with Zapier.

  • You must have your own Zapier account (Sign up for free at: https://zapier.com/)

  • You must have your other system’s login credentials and be able to access that system in order to set up the Zap in Zapier.

  • You must have your InvestNext login credentials and be able to access your InvestNext Admin account to set up the Zap.

NOTE: In this document, we will use Zapier to send InvestNext Form data into Gmail to automatically set up a draft email. You can use Zapier to send InvestNext Form data into any Zapier-integrated software that you choose, including MailChimp, HubSpot, and so forth.


Part 1:

In Zapier:

  • Definition: Action = what is coming into InvestNext based on some event from a third-party application such as MailChimp or HubSpot, etc.

  • Definition: Trigger = what InvestNext is sending to Zapier and telling Zapier to do a specific activity with it.

IMPORTANT: Form Submissions is the Trigger that you will be using to set up this Zapier integration.

  1. Log into your Zapier account.

  2. Click on My Zaps

  3. Click Create, New Zap

  4. Under Trigger, choose InvestNext - the system the data will be coming from:

5. Click in the field: * Event (required)

6. Choose Form Submission

  • Form Submission is the Event that will tell Zapier what data to be moved to the other system through Zapier.

7. Click Continue.

8. You will connect your InvestNext account to Zapier by clicking + Connect a new Account:

9. Zapier will connect to the InvestNext screen shown below to allow you to give Zapier permission to access your InvestNext account:

IMPORTANT:

  • If you are NOT logged into Zapier at this time, this screen will request you to log Into your InvestNext Account.

  • If you ARE logged into Zapier, you will only be required to Authorize the connection as shown in the screen above.

10. After your InvestNext account is connected to Zapier, you are taken back to Zapier.

  • Click the Continue button.

11. Set up Trigger by selecting the Dynamic Fields that you have collected in your InvestNext Form.

  • Click on the Dynamic Fields dropdown to show the custom data that you have collected in your InvestNext forms. NOTE: These will be different for each sponsor.

NOTE: Zapier will automatically pull the First Name, Last Name, and Email from the Form. Use the Dynamic Fields to include the custom fields you have added to your Form.

IMPORTANT: If you update your Custom Fields in your InvestNext Form, you will need to update your ZAP in this section as well by adding the new Dynamic Fields to your Trigger.

12. Select the Dynamic Fields you want to send FROM InvestNext to your other system and click Continue.

13. Test Trigger.

NOTE: If the Test fails:

  • In InvestNext, verify that you have selected Enable Form Submissions under the Gear setting, under Investor Portal → Access

  • You must also have at least one Approved Form under the Communications Form section, which has information in the field you added as a Dynamic Field.

14. After testing, you are brought to 2. Action

In this section, you will be telling Zapier where to send the data. Search for the system you will be sending your data into and select the system:

15. Click into the * Event (required) field to display all the Events Gmail offers.

In this example, we chose to Create Draft from the dropdown.

16. Select the Event option and click Continue.


Part 2:

In the Other Zapier-Integrated System:

  1. Log into the system you want to send your InvestNext Form data into. (This example uses Gmail. You may be using a different Zapier-integrated system.)

2. When the following screen displays, scroll to the bottom and select Allow or Connect App. This screen is your acknowledgment that Zapier will access your other system data.

NOTE: This will be different in each CRM! Consult the documentation for your CRM account


Part 3:

In Zapier:

  1. You are taken back to the Zapier workflow.

  2. At the Set up action section, Choose the account that you want to use, then click Continue.

In this section, you will be creating the actions you want Zapier to take with the InvestNext Form data coming from InvestNext.

3. In this example, click into the * Subject (required) field. The available data will display. You can click Show all options to see all data.

4. Complete each Field and select the appropriate data for the field.

5. Click Continue

6. Click Test action or Skip test.

7. Zapier will ask if you are ready to publish your Zap.

8. Click the button: Publish & Turn On

The following confirmation screen will display:

IMPORTANT NOTE: Only new form data received after the integration will be sent to your other Zapier-integrated system. Form data that existed before the integration will not be sent to the other system.
