3. Create CRM Deals Automatically When New Opportunities Are Added in InvestNext

Ensure new opportunities in InvestNext are reflected as deals in your CRM without manual data entry.

What This Automation Does

This automation automatically creates a new deal in your CRM whenever a new opportunity is created in InvestNext. It helps keep your sales or investor pipeline aligned with activity in InvestNext without requiring manual updates.

By syncing opportunities to your CRM, your team can track deal progress, communication, and investor engagement while keeping InvestNext as the source of truth for deal activity.


When You Should Use This

Use this automation if you:

  • Manage investment opportunities in InvestNext

  • Track deal pipelines or fundraising activity in a CRM such as HubSpot

  • Want your CRM to reflect new opportunities automatically

  • Need your sales or investor relations team to have visibility into new deals


How the Automation Works

At a high level, this automation follows three steps:

  1. A new opportunity is created in InvestNext

  2. Zapier detects the new opportunity

  3. A corresponding deal is created in your CRM

This ensures your CRM pipeline reflects opportunities as soon as they are created in InvestNext.


Step-by-Step Setup Instructions

Step 1: Configure CRM Property

Before we can begin in Zapier, the CRM that will be receiving the New Opportunity Data needs to be configured. This configuration requires adding a Property to store a unique identifier for each Opportunity created within InvestNext.

    • Property Label: InvestNext Opportunity ID

    • Field Type: Single-line text

    • Description: The unique ID associated with an Opportunity in InvestNext

Step 1(a): Configure InvestNext

We've nearly completed the configuration! Now we're going to be copying values from HubSpot to InvestNext. This will allow the Zap to find the necessary values in HubSpot when the Opportunity Stage is updated within InvestNext.

Now that we have the Pipeline Internal ID, navigate to InvestNext Pipeline Settings.

Click on Properties

Paste the Hubspot Internal ID copied in the above step (2d) into the External ID field. Click Save!

Step 1(b): Adding "HubSpot Stage ID" to InvestNext Pipeline Stages

Remaining in the same area of HubSpot, copy the "Stage ID"

Find the corresponding stage in the InvestNext Pipeline. Click the ellipsis (3 dots) and select "Edit Stage ID"

  • Paste the Hubspot Internal Stage ID copied in the above step (3a) into the External ID field. Click Save!

Note: Repeat Step 3 of Stage Configuration for any additional pipeline stages you've set up.

Congratulations on getting this far! The configuration between HubSpot and InvestNext is now set up. We're ready to create the Zap!


Step 2: Create a New Zap in Zapier

Log in to Zapier and click Create Zap to begin building your automation.


Step 3: Configure the InvestNext Trigger

  1. Select InvestNext 4.0 as the trigger app

  2. Choose New Opportunity as the trigger event

  3. Connect your InvestNext account if prompted

  4. Test the trigger to retrieve a sample opportunity

Testing the trigger allows Zapier to retrieve a sample of the data that will be used for field mapping later.

Output Data

Below is an example of the data output from a New Opportunity. The Opportunity ID will be used as the unique identifier for updating respective stages in your pipeline.


Step 3: Configure the CRM Action

  1. Select your CRM (for example, HubSpot) as the action app

  2. Choose Create Deal as the action event

  3. Connect your CRM account if prompted

This step tells Zapier to create a new deal in your CRM when an opportunity is created in InvestNext.


Step 4: Map Opportunity Fields to CRM Deal Fields

Map the relevant opportunity fields from InvestNext to the appropriate deal fields in your CRM.

Map over the respective information from the Output Data to your CRM fields. It's critical to map the Opportunity ID into the property we created in Step 1: Configure CRM Property. Mapping the Opportunity ID is particularly important if you plan to update the deal later through additional automations.

Common mappings include:

  • Opportunity Name → Deal Name

  • Opportunity ID → External ID or custom property

  • Expected Amount → Deal Amount

  • Pipeline Stage Name → Deal Stage


Step 5: Test and Turn On the Zap

  1. Run a test to create a sample deal in your CRM

  2. Confirm the deal appears correctly in your CRM pipeline

  3. Turn the Zap On once everything looks correct

After activation, new opportunities created in InvestNext will automatically be created as corresponding deals in your CRM.


Common Issues & Troubleshooting

Deals are not being created

  • Confirm the Zap is turned on

  • Check that the InvestNext trigger is detecting new opportunities

  • Review Zapier run history for errors

Deal information appears incomplete

  • Confirm all relevant opportunity fields are mapped during setup

  • Re-test the Zap with a recent opportunity to verify the field mappings


Notes & Limitations

  • This automation runs in one direction only (InvestNext → CRM)

  • This automation creates only the initial Opportunity.

  • Zap processing time may vary slightly depending on your Zapier plan
