What This Automation Does

This automation updates an existing deal in your CRM whenever the stage of an opportunity changes in InvestNext. It ensures your CRM pipeline always reflects the most current deal status without requiring manual updates.

By syncing opportunity stage changes from InvestNext to your CRM, your team can track deal progress, monitor fundraising activity, and maintain accurate reporting across systems.

Use this automation if you:

  • Manage opportunities and deal progress in InvestNext

  • Track deal pipelines or fundraising activity in a CRM such as HubSpot

  • Want your CRM deal stages to stay aligned with InvestNext opportunity stages

  • Need your team to have accurate pipeline visibility in your CRM


How the Automation Works

At a high level, this automation follows three steps:

  1. An opportunity stage is updated in InvestNext

  2. Zapier detects the stage update

  3. The matching deal in your CRM is found and updated

This ensures your CRM deal pipeline stays aligned with the current opportunity status in InvestNext.


Step-by-Step Setup Instructions

Step 1: Create a New Zap in Zapier

Log in to Zapier and click Create Zap to begin building the automation.


Step 2: Configure the InvestNext Trigger

  1. Select InvestNext (4.0) as the trigger app

  2. Choose the Updated Opportunity Stage as the trigger event

  3. Connect your InvestNext account if prompted

  4. Test the trigger to retrieve a sample opportunity

Output Data

Below is an example of the data output from an Updated Opportunity Stage. The Opportunity ID


Step 3: Find the Matching CRM Deal

  1. Select your CRM (for example, HubSpot) as the action app

  2. Choose Find Deal as the action event

  3. Configure the search to locate the deal using the InvestNext Opportunity ID

This step ensures the correct CRM deal is located before updating it.


Step 4: Update the CRM Deal Stage

  1. Add a new action step in Zapier

  2. Select your CRM again as the action app

  3. Choose Update Deal as the action event

  4. Select the Object ID from the previous step Find Deal

  5. Map the updated InvestNext Opportunity Stage to the corresponding CRM deal stage

This step keeps the CRM deal pipeline aligned with the opportunity status in InvestNext.


Step 5: Test and Turn On the Zap

  1. Run a test to update a sample deal in your CRM

  2. Confirm the deal stage changes correctly in your CRM pipeline

  3. Turn the Zap On once everything looks correct

After activation, any opportunity stage change in InvestNext will automatically update the corresponding CRM deal.


Common Issues & Troubleshooting

Deals are not being updated

  • Confirm the Zap is turned on

  • Verify the CRM deal contains the correct InvestNext Opportunity ID

  • Check Zapier run history for errors

  • Update Deal has mapped the three fields noted in Step 4: Update the CRM Deal Stage

Incorrect deals are updated

  • Confirm the Find Deal step is using the correct field to match the opportunity

  • Ensure the Opportunity ID is unique and correctly stored in your CRM


Notes & Limitations

  • This automation updates deals that were originally created from InvestNext opportunities

  • The CRM deal must contain the InvestNext Opportunity ID to allow Zapier to match records

  • Zap processing time may vary slightly depending on your Zapier plan
