7. Automatically Update CRM Deals When All Investors Sign Required Documents

Keep deal records accurate by updating your CRM once all investors complete required e-signature documents.

Updated this week

What This Automation Does

This automation updates an existing deal in your CRM when all investors have completed the required e-signature documents for an opportunity in InvestNext. It ensures your CRM reflects when investor documentation is fully signed without requiring manual updates.

By syncing document completion status to your CRM, your team can track key deal milestones and quickly identify when an opportunity has reached the fully signed stage.

When You Should Use This

Use this automation if you:

  • Manage deal documentation and signatures through InvestNext

  • Track deal progress or investor activity in a CRM such as HubSpot

  • Want your CRM to reflect when investor documents are fully signed by them

  • Need visibility into deal completion milestones within your CRM

How the Automation Works

At a high level, this automation follows three steps:

  1. All investors sign the required e-signature documents in InvestNext

  2. Zapier detects that the signature process is complete

  3. The corresponding deal in your CRM is found and updated

This ensures your CRM reflects when all investor documentation has been completed.

Step-by-Step Setup Instructions

Step 1: Create a New Zap in Zapier

Log in to Zapier and click Create Zap to begin building the automation.

Step 2: Configure the InvestNext Trigger

  1. Select InvestNext as the trigger app

  2. Choose All Investors Have Signed a Given E-Signature Document as the trigger event

  3. Connect your InvestNext account if prompted

  4. Test the trigger to retrieve a sample document completion event

Testing the trigger allows Zapier to retrieve example data for use in field mapping.

Output Data

Below is an example of the data output from an All Investors Have Signed a Given E-Signature Document. The Opportunity ID will be used as the unique identifier for updating respective stages in your deal pipeline.

Opportunity Documents Signed By All Investors will be TRUE when all investors have signed.

Step 3: Filter for Investors Signed Documents

In this step, a Filter by Zapier is added before proceeding to the additional steps in the automation. I'm filtering for TRUE as the value for Opportunity Documents Signed by All Investors.

Step 4: Find the Matching CRM Deal

  1. Select your CRM (for example, HubSpot) as the action app

  2. Choose Find Deal as the action event

  3. Configure the search to locate the deal using the InvestNext Opportunity ID

This step ensures the correct deal is located before applying updates.

Step 5: Update the CRM Deal

  1. Add another action step in Zapier

  2. Select your CRM again as the action app

  3. Choose Update Deal as the action event

  4. Update the Deal Stage to Investors Signed

Step 6: Test and Turn On the Zap

  1. Run a test to update a sample deal in your CRM

  2. Confirm the deal record updates correctly

  3. Turn the Zap On once everything looks correct

After activation, your CRM will automatically update when all investors complete the required documents.

Common Issues & Troubleshooting

Deals are not being updated

  • Confirm the Zap is turned on

  • Verify the CRM deal contains the correct InvestNext Opportunity ID

  • Check Zapier run history for errors

Document completion updates do not appear in CRM

  • Confirm the trigger event is configured correctly

  • Test the Zap using a recent document completion event from InvestNext

Notes & Limitations

  • This automation updates deals associated with InvestNext opportunities

  • The CRM deal must contain the InvestNext Opportunity ID to match records correctly

  • Zap processing time may vary slightly depending on your Zapier plan
